Refund Policy

1. Overview
At Elvirax Café, we want you to be completely satisfied with your experience. This Refund Policy explains our approach to refunds and cancellations for various products and services. We strive to be fair and transparent in all our dealings.
2. In-Store Food and Beverage Purchases
We take pride in the quality of our food and beverages. However, we understand that occasionally things may not meet your expectations.
Quality Issues
If you're not satisfied with your order due to quality concerns (wrong order, incorrect preparation, unsatisfactory taste, etc.), please let us know immediately. We will:
- Remake your order at no additional charge, or
- Provide an alternative item of equal or lesser value, or
- Issue a full refund
We ask that you notify us while you're still in the café or within 30 minutes of purchase to allow us to address the issue promptly.
Change of Mind
Due to food safety regulations, we cannot offer refunds or exchanges on food and beverages if you simply change your mind after the item has been prepared. However, if you haven't yet received your order, we'll do our best to accommodate changes.
Allergies and Dietary Restrictions
We cannot provide refunds if you experience an allergic reaction after failing to inform our staff of your allergies. Please always inform us of any dietary restrictions or allergies before ordering. We take all reasonable precautions, but cross-contamination is possible in our kitchen.
3. Barista Workshop Refunds
Our Barista Workshop sessions are priced at $45 CAD per person and require advance booking.
Cancellation by Customer
- More than 48 hours before the workshop: Full refund (100% of the workshop fee)
- 24-48 hours before the workshop: 50% refund (workshop fee minus $22.50 CAD cancellation fee)
- Less than 24 hours before the workshop: No refund, but you may transfer your booking to another available date within 6 months
- No-show: No refund and no transfer available
Rescheduling
You may reschedule your workshop booking once at no charge if requested more than 48 hours in advance. Subsequent rescheduling requests may incur a $10 CAD administrative fee.
Cancellation by Elvirax Café
If we need to cancel a workshop due to unforeseen circumstances (staff illness, equipment failure, low enrollment, etc.), you will receive:
- Full refund of the workshop fee, or
- Priority booking for the next available workshop date, or
- A credit voucher worth 110% of your workshop fee, valid for 12 months
4. Private Event Bookings
For private event bookings at Elvirax Café:
Deposit
A non-refundable deposit of 30% of the estimated total cost is required to secure your booking. This deposit is applied toward your final bill.
Cancellation Policy
- More than 30 days before event: Deposit forfeited, but no additional charges
- 15-30 days before event: Deposit forfeited plus 25% of remaining balance
- 7-14 days before event: Deposit forfeited plus 50% of remaining balance
- Less than 7 days before event: Full payment required (100% of total cost)
Rescheduling Events
Event rescheduling is subject to availability and must be requested at least 15 days in advance. One free rescheduling is permitted; subsequent changes may incur a $50 CAD administrative fee.
5. Retail Products (Coffee Beans, Merchandise)
Retail products sold at Elvirax Café may be returned or exchanged under the following conditions:
Unopened Products
You may return or exchange unopened retail products within 14 days of purchase with your original receipt for:
- Full refund to original payment method, or
- Exchange for another product of equal value, or
- Store credit
Opened Products
If you're not satisfied with the quality of a product you've opened (e.g., coffee beans), we will exchange it for another product or provide store credit, provided you return it within 7 days with at least 75% of the product remaining.
Damaged or Defective Products
If a product is damaged or defective, we will provide a full refund or replacement regardless of whether it's been opened, provided you report the issue within 30 days of purchase.
6. Gift Cards and Vouchers
- Gift cards are non-refundable and cannot be exchanged for cash
- Gift cards do not expire and retain their full value indefinitely
- Lost or stolen gift cards cannot be replaced unless you have the original receipt and card number
- Promotional vouchers are subject to the terms stated on the voucher and cannot be exchanged for cash
7. How to Request a Refund
To request a refund or cancellation:
- In-store purchases: Speak with a staff member immediately or call us within 30 minutes
- Workshop cancellations: Email [email protected] or call +1 250-233-1024 with your booking reference
- Event cancellations: Contact your event coordinator or email [email protected]
- Retail returns: Visit the café with your receipt and the product
Please provide your order or booking details, reason for the refund request, and contact information.
8. Refund Processing Time
Once your refund is approved:
- Cash refunds: Issued immediately in-store
- Credit/debit card refunds: Processed within 3-5 business days; may take 5-10 business days to appear on your statement depending on your financial institution
- Store credits: Issued immediately and valid for 12 months
9. Exceptions and Special Circumstances
We understand that unusual circumstances may arise. If you have a situation not covered by this policy (medical emergencies, family emergencies, etc.), please contact us directly. We'll work with you to find a fair solution on a case-by-case basis.
10. Dispute Resolution
If you're not satisfied with how we've handled your refund request, please contact our management team at [email protected]. We're committed to resolving all disputes fairly and promptly. If we cannot reach a resolution, you may contact Consumer Protection Alberta for assistance.
11. Changes to This Policy
We reserve the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting on our website. The date of the last update will be shown at the top of this page.
